The New England Hazmat Conference (the "Conference") is hosted by the Massachusetts Association of Hazardous Materials Technicians ("MAHMT," "we," "us," or "our"), and this Privacy Policy applies to the website located at nehazmatconference.org (the "Site"). This Privacy Policy explains what personal information we collect through the Site, how we use and share it, and the choices available to you.


By using the Site, registering for the Conference, submitting a form, or otherwise providing us with information, you agree to the practices described in this Privacy Policy.

1. Information We Collect

1.1 Information Collected Automatically

The Site is built and hosted on the Wix platform. When you visit the Site, Wix may automatically collect standard technical information on our behalf, including your IP address and approximate location, browser type and device information, pages viewed and time spent on the Site, referring pages, and similar usage data, typically through cookies and similar tracking technologies. You can control cookies through your browser settings, though disabling them may affect how the Site functions.

1.2 Information You Provide Directly

  • Event registration and ticket purchases: When you register or purchase a ticket to attend the Conference, this is processed through Wix Events. We (and Wix, as our service provider) receive your name, email address, and any other registration details requested at checkout. Payment card information is collected and processed directly by Wix's payment processing partners; we do not receive or store your full card number.

  • Contact form: Collects your first name, last name, email address, and the message you submit, so that we can respond to your inquiry.

  • Newsletter signup: Collects your email address so we can notify you when registration for a future conference opens and send related updates. You may unsubscribe at any time using the link in any email we send.

  • Speaker proposal form: If you submit a presentation proposal, we collect your first and last name, department/organization, title, email address, phone number, mailing address, professional biography, a photo (if you choose to upload one), your LinkedIn, Facebook, Instagram, and/or X (Twitter) handles (if provided), and detailed information about your proposed presentation, including scheduling availability, equipment or space needs, class size limits, and any speaker fee or expense reimbursement request.

  • Vendor and sponsor registration: If you register as a vendor or sponsor, we collect business contact information, company details, and marketing materials (such as your company logo and a link to your website) for the purpose of evaluating and, if accepted, promoting your participation in the Conference.


We do not knowingly collect more personal information than is reasonably necessary for the purposes described above.

2. How We Use Your Information

We use the information described above to:


  • Process and confirm event registrations and ticket purchases

  • Respond to inquiries submitted through our contact form, email, or phone

  • Send newsletter updates about future conferences, consistent with the CAN-SPAM Act

  • Evaluate speaker proposals and vendor/sponsor applications, and communicate with applicants about the status of their submission

  • Plan and operate the Conference, including scheduling, staffing, catering, and lodging arrangements for accepted speakers

  • Publish accepted speaker names, biographies, and photos, and accepted vendor/sponsor names, logos, and links, on the Site and in Conference promotional materials (see Section 4)

  • Maintain, secure, and improve the functionality of the Site


We do not sell, rent, or trade your personal information to third parties for their own independent marketing purposes.

3. Sharing Your Information

We may share information with trusted service providers who help us operate the Site and the Conference, including our website and event-registration platform (Wix, including Wix Events and Wix's payment processing partners), our newsletter tool, and the venue, MassMutual Center & Convention Center. These providers are only permitted to use your information to provide services to us. We may also disclose information if required by law, subpoena, or governmental request, or to protect the rights, property, or safety of MAHMT, Conference attendees, or others.

4. Public Display of Submitted Information

Some information you submit to us is, by its nature, intended for public display. If your speaker proposal is accepted, your name, professional biography, photo, and (if provided) professional social media links may be published on the Site and in Conference materials. If your vendor or sponsor registration is accepted, your company name, logo, sponsorship level, and website link may be published on the Site. By submitting a speaker proposal or vendor/sponsor registration, you consent to this public display. If you would like previously published speaker or vendor/sponsor information removed or corrected, contact us using the information in Section 11.

5. Cookies and Tracking Technologies

The Site uses cookies and similar technologies, provided through the Wix platform, to operate core features (such as the shopping cart used for ticket purchases), remember your preferences, and understand how visitors use the Site. You can manage or disable cookies through your browser settings.

6. Data Retention

We retain registration, speaker, and vendor/sponsor information for as long as reasonably necessary to plan and promote the current and upcoming conferences, maintain accurate business and financial records, and comply with legal and tax obligations. Newsletter subscriber information is retained until you unsubscribe.

7. Children's Privacy

The Site and the Conference are directed to hazardous materials response professionals and are not intended for, or directed to, children. We do not knowingly collect personal information from anyone under the age of 13. If you believe a child under 13 has provided us with personal information, please contact us using the information in Section 11 so we can remove it.

8. Your Privacy Choices

You may unsubscribe from our newsletter at any time using the link included in each email. You may also contact us to ask what personal information we hold about you, and to request that we correct or delete it, and we will honor reasonable requests to the extent we are able, subject to our legitimate business, legal, and recordkeeping needs (for example, we may need to retain financial records of a completed ticket purchase). This is a voluntary practice we follow and is not, by itself, an entitlement created under Massachusetts law.

9. Massachusetts Data Breach Notification

In the event of a breach of security involving your unencrypted personal information that is reasonably likely to cause substantial harm, we will provide notification as required under Massachusetts General Laws Chapter 93H and its implementing regulations (201 CMR 17.00). Chapter 93H governs breach notification; it does not create a broader set of consumer data rights, and nothing in this Privacy Policy should be read to suggest otherwise.

10. Data Security

We use reasonable administrative and technical safeguards to protect the information we hold, and we rely on the security measures maintained by Wix for the underlying platform and payment processing. No method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.

11. Third-Party Links

The Site contains links to third-party websites, including sponsor and vendor websites and our social media pages on Instagram, Facebook, LinkedIn, and X. We are not responsible for the privacy practices of these third parties, and we encourage you to review their privacy policies before providing them with information.
